This guide contains information for students and staff processing and handling archival materials.

Reference Desk Guidelines

Reference desk duties:

Students on reference desk are here to assist researchers and assure security and safety of artifacts, documents, and books.

When a researcher comes in, ask if they have a researcher application on file. If they do look them up in the file and make sure the information is up to date. If they do not have an application on file, have them fill one out and ask them for a piece of ID to verify their identity.

Explain the reading room rules to them.

  • No bags or jackets allowed in reading room (provide a lock for the lockers outside the reading room)
  • Only pencil and paper for notes, NO PENS
  • No food or drink in reading room!
  • Laptops are ok for note taking
  • Ask before taking any photographs, due to copyright concerns
  • Patrons must face the reference desk so you can watch them handle documents
  • Only one box per patron on the table at a time

For our statistics to monitor which collections are most used, record collections and boxes accessed on the forms in the front of the Binder at the reference desk.
